5 Reasons to Book Your Trade Show Hotel in the ATA Block

The bowhunting industry’s largest and most inclusive trade show worldwide heads to Indianapolis, Jan. 11-13, and Archery Trade Association staff are working to guarantee the 2018 Show is among the best yet. Besides helping ATA-member companies maximize their profits and grow bowhunting participation nationwide, the ATA strives to ensure a positive experience for ATA Trade Show exhibitors and attendees. That’s why we urge Show registrants to book hotels in the official ATA block.

“By creating partnerships with the hotels and Indianapolis, and having all rooms come through our block, we can reduce rates and save our members money,” said Kelly Kelly, ATA’s senior meetings manager. “This also lets us request benefits like free internet in all properties, and select discounts on parking rates and restaurants throughout the city.”

Why else should you book in the ATA block? Consider these five reasons.

1. Get the best hotel rates.

The ATA block offers rooms at Indianapolis’ best rates during the Show, Jan. 11-13. “All of our hotel agreements include a lowest-rate clause, which comes with costly penalties if violated,” Kelly said. “No member should ever find a rate lower than those on our housing forms. If they do, we want to know about it.”

The Visit Indy Housing Bureau is the only authorized housing agency of the 2018 Show.

Any other company that contacts attendees regarding hotel reservations is not affiliated with or endorsed by the ATA. If you book your hotel outside of the official ATA hotel block, or book your room through an organization other than the Visit Indy Housing Bureau, you assume all risks.

2. Easy access and increased networking opportunities.

Kelly said staying in the ATA block presents ample opportunities to network and nurture business connections after Show hours. “When we set the number of retailer and exhibitor rooms per property, we work to provide balance,” she said. “That provides opportunities for exhibitors and retailers to do business even when they’re not on the Show floor.”

Block hotels also include easy access to the Indiana Convention Center, because most are connected by skywalks. For the few hotels not connected, the ATA offers a complimentary shuttle service to and from the Center each day of the Show, and on select move-in days.

Shuttles for the 2018 Show will run continuously from the Indiana Convention Center to the Embassy Suites, Hampton Inn Downtown, Hilton Indianapolis, Holiday Inn, Holiday Inn Express and Staybridge Suites during the following times:

  • Wednesday, Jan. 10: 7 a.m. to 11 p.m.
  • Thursday, Jan. 11: 6 a.m. to 10 a.m., and 5 p.m. to 10 p.m.
  • Friday, Jan. 12: 6 a.m. to 10 a.m., and 5 p.m. to 8 p.m.
  • Saturday, Jan. 13: 6 a.m. to 10 a.m., and 3 p.m. to 7 p.m.

Trade Show staff visit the site before agreeing to the final contract. “We ask all the difficult questions, as well as when renovations were completed and what was included,” Kelly said.

Whether it’s updated bedding, new meeting rooms or full floor renovations, we know about it. That way, the ATA can confidently tell members they’re getting great rooms with the best service possible, no matter their needs or price.

“Not all attendees are looking for the same type of room,” Kelly said. “Some need a full business suite for meetings and entertaining clients. Others simply need a bed for a few hours of sleep after reviewing price sheets and organizing Show leads.”

No matter the need, ATA staff work to find accommodations for all price points within a half-mile of the Convention Center.

4. Hassle-free booking.

After registering for Show badges, attendees receive a hotel code and step-by-step instructions to complete their booking online. This is the quickest and most effective method. However, those wishing to book hotels via mail, email, phone or fax can use the ATA’s easy-to-use form.

When booking, whether online or by other means, registrants designate their top three hotel choices. The Visit Indy Housing Bureau uses those choices to fill requests on a first-come, first-served basis. And if you want to accumulate rewards points, ATA has that covered, too. Just include your rewards number on your submission, and we’ll relay it to your hotel. Booking through the ATA also makes booking large blocks of 10-plus rooms a breeze.

No matter your needs, the ATA and Visit Indy work together to provide an unmatched Show experience.

Although you might be tempted to book your hotel ahead of time, the ATA urges you to wait and book your hotels in the official block when Show registration opens June 14.
