Get the Scoop: ATA’s Booth Selection Process for the 2021 ATA Trade Show

Use these tips to help select an ideal booth location for the 2021 ATA Trade Show.

To give ATA members time to focus on their family and business during the COVID-19 pandemic, the ATA pushed its booth selection timeline. ATA staff and the Trade Show advisory team recently reviewed the booth selection timeline and published a new schedule.

Booth selection for the 2021 ATA Trade Show begins July 7. The ATA mailed booth-selection packets to exhibitors on June 9. ATA staff also emailed booth selection information on June 9 to ATA members because many people are working from home. Please review the material to ensure you understand the selection process.

To eliminate confusion and help you prepare to choose your booth, we spoke with Becky Lux, the ATA Trade Show’s senior manager. Lux said the booth-selection packets include four documents. Let’s review each document’s purpose:

1. 2020 ATA Show Exhibitor Display Regulations: These guidelines explain how exhibitors can use booth space purchased for the Show.

2. Booth Space Selection: This lists your company’s rank and records. It also provides your booth selection’s call date and time, and explains payment requirements.

3. Booth Selection Process: This explains what to expect throughout the process.

4. 2020 Absentee Booth Selection Form: Fill out this form and return it to the ATA if you can’t speak with an ATA staff member at your appointed call time.

 

Prepare for Your Call

Please note: 2020-2021 ATA membership dues must be paid in full before companies can select a booth. Renew your membership online through the MyATA Login. Click here to read how-to steps for renewing your membership.

Once you update your membership, review the 2021 floor plan about 20 minutes before your call to identify two or three potential booth locations. The online floor plan updates in real time. Please refresh your screen regularly to view current information. It’s best to determine how much real estate you need. Base your booth size off your budget and exhibiting goals.

Booth Selection Tips

Lux encourages exhibitors to carefully choose booth space that maximizes their presence. Think about the following considerations to help pick an ideal site:

-Traffic flow: Understand how people enter, exit and navigate the Show floor and choose a spot with good traffic flow. Remember, the restrooms, food courts and other attractions (like the MyATA Area) also receive many visitors.

-Booth placement: Determine whether you want to be in the front or back of the exhibit hall, or somewhere in between. Then, decide if you want to be on a corner, main aisle or interior aisle.

-Potential neighbors: View which companies are exhibiting in neighboring booths. Determine whether which companies you want next to you or far away from you. These might include competitors or complimentary products.

-Obstructions: Ensure your booth is visible. Take note of walls, structural columns, and potentially large booths when selecting your site.

If you’re unsure which booth space to pick, ask Lux’s advice. Don’t be shy. She’s happy to offer suggestions.

 

Call Expectations

An ATA staff member will call your company’s primary contact at the designated time and date. You’ll have 10 minutes to ask questions, review your options, and make your selection. You must pay a 20 percent credit-card deposit to reserve the space.

After the payment is verified, you’ll have access to the Exhibitor Service Center to review and sign the exhibitor contract. We will send a confirmation email once the online contract is signed. The email includes a link to the ATA’s hotel block so you can reserve room(s) for the 2021 Show.

FAQs

 

What if I miss my scheduled call and didn’t fill out the “Absentee Booth Selection Form”?

Don’t worry! You can select a booth any time after your designated call date and time. Call Lux at (866) 266-2776, ext. 102, between 3:30 and 4:30 p.m. CST to discuss options. If the line is busy, please leave a message and Lux will return your call. You can also complete the “Absentee Booth Selection Form” and email it to beckylux@archerytrade.org. You’ll receive a confirmation email once your booth is reserved.

 

After I send my “Absentee Booth Selection Form,” how do I know which option was selected?

Lux will review your form during your company’s designated call time. She’ll reserve the first available booth on your sheet, and apply your credit-card information to reserve the space. You’ll receive an email within 20 minutes of your call time with your booth number and login information so you can sign the exhibitor contract online. After signing the contract, you’ll gain access to the ATA’s hotel block. If you don’t receive an email, please contact Lux at (866) 266-2776, ext. 102, between 3:30 and 4:30 p.m. CST.

 

I’m a new exhibitor. How can I sign up for a booth if I didn’t receive a booth selection packet?

Booth selection for exhibitors new to the ATA Trade Show or those without preference points, opens August 6 at 8 a.m. CST. Booths are available first-come, first-served. Please call Becky Lux at (866) 266-2776, ext. 102, to make your selection.
